Communication

One of the most effective ways to help increase support of board/committee decisions is through communication. If members are informed of the issues facing their community and understand why the board/committee makes the decisions that it does, then they are more likely to support and comply with those community decisions. In addition, effective communication also allows members to voice their comments, requests, concerns and ideas so that the board/committee can make its decisions based on the best interests of the entire membership.

Responsibilities

Clarity is key to understanding, so clear delineation of the association’s responsibilities allows the association to optimize the use of board, committee, and volunteer resources. We view the board of directors or committee as the as the policy-making body for the association, and our managers act as advisors to the board or committee when our expertise and experience can add value. We are responsible for carrying out the directives of the board/committee. In this way the board/committee may delegate the day-to-day operations of the association to the manager, including:

Inspections –Violations- Architectural Control and Compliance

Inspections

Customized Monthly, or bi-weekly random Inspection of your community or property to determine maintenance needs, owner and resident violations, and review work of contracted vendors. Manager will render reports and make recommendations concerning Property to Association’s board of directors. If there is a need Manager may visit property several times within the month if deemed necessary.

Violations

Covenant Enforcement – Regularly conduct a site inspection to ensure compliance with the covenants, which is fairly enforced with written notice, hearings and fines.

Track Violations, automatically escalate them based upon preset criteria, and assess violation fines. Monthly Report of Violation activity and escalation of Violations and Fines for violations according to your CCR’s. Reporting violations of the Covenants, Rules and Regulations and Design Standards to the board.

Automatically generate customized letters for each stage of a violation to Ensure that your violation process is followed accurately providing notice to homeowners whose properties are out of compliance. Working with homeowners to resolve such issues.

Architectural Control and Compliance

Preliminary review to ensure all supporting documents submitted to enable your committee to make an informative decision

Process to ensure that applications do not go unanswered by your board/Committee resulting in unwanted automatic approvals

Monthly report showing approved/denied applications in the last 30 days
